9.10. Document Handling

Document Production #

The templates used to produce documents and the produced documents have to be stored somewhere. Here you set up the default paths.

Field Description
Default document template path: Enter the path to the folder where you store your document production templates.

Mandatory: Yes

Applicable for: P&C, Life
Default document path: Enter the path to the folder where you store your produced documents. The path can contain substitution variables.
If the path contains %userId% (exact case) it will be replaced with the SICS ID of the logged in user. Example D:%userId%\SicsDocuments will be expanded to D:\JSMITH\SicsDocuments for the user John Smith with SICS ID JSMITH.
For any other %XXX% (where XXX is any string) in the path the XXX will first be looked up in the java system properties (those that can be set with the -D on the java command line) and if not found there will be looked up in the environment variables. If not found in the environment variables the %XXX% will remain in the path (- probably leading to a run-time error).

Example 1: Assume SICS is started with -DDocPath=SicsDocuments and the path is defined as “D:%DocPath%%userId%\output” and the user is JSMITH then the path will be expanded to “D:\SicsDocuments\JSMITH\output” at runtime.

Example 2: Assume SICS is started in an environment with the Windows Environment Variable DOCHOME=E:\Documents and the path is defined as %DOCHOME%\output then the path will be expanded to “E:\Documents\output” at runtime.

Applicable for: P&C, Life
Suppress Claim ACI Borderau Document Selected: A separate Claim ACI Bordereau will not be produced neither from a Cession order nor from a Retrocession Cession order. Instead the Claim ACIs will be included in the same Bordereau as the Cession ACIs.

Cleared: Two separate Bordereaux will be produced, one for Cession ACIs and one for Claim ACIs.

Relevant when: Your company has defined a combined Document Template for Cession-and Claim ACIs for both Cession and Retrocession Cession orders.

Applicable for: Life
Document Management System From SICS, System Parameters and Reference Data control the DMSI.

Selected: All produced documents will be handled using DMS instead of the usual OS file system.

Relevant when: Document Management System is in use.

Applicable for: P&C, Life
Use DMS Interface for Produced Documents of a Document Type defined for DMS Selected: Only those produced documents of a type specified to use the DMSI are transferred to the DMS.

Relevant when: Document Management System is in use.
Validations: * Only one of these two settings can be selected.
* When using the second setting described above, Reference Data is used to define which document types to enable for DMS.
* For each instance of the reference data “Document Type”, it is possible to add information about whether documents of this type are stored in the DMS or not.
* The reference data item “Transfer document to Document Management System” of the reference data type “Document Management System” represents this setting.
* Each document type may have a parent dependency to “Transfer document to Document Management System”.
* A document type with no parent of this type means that normal OS file handling is used of its documents.
* Setting up these relations is done through the existing reference data tools in SICS.
* If the above described settings related to Produced Documents or Templates are enabled, the File Exchange Folder must be entered.

Use DMS for Templates Selected: All new templates defined in SICS will be handled by the DMS.

Relevant when: Document Management System is in use.

Applicable for: P&C, Life
Enable DMS Interface for Attachments Selected: DMSI will be the default way of adding new attachments. However, attaching documents stored, as ordinary OS files will still be possible. This option will appear as a new menu option in the Attachment list window.

External Document Management System #

Field Description
Enable EDMS interface for Attachments Selected: Activates new option for adding attachments to a business

Relevant when: External system is used to store data that should be attached to businesses in SICS.

Applicable for: P&C, Life
Disable Internal Attachments Selected: The “normal” attachment button is disabled

Relevant when: External system is used to store data that should be attached to businesses when decision is taken that all attachments should be stored in same place.

EDMS executable Relevant when: External system is used to store data that should be attached to businesses in SICS. Used to outline the program used for attachments.

Mandatory: Yes when using EDMS for attachments

SICS Spreadsheets #

The spreadsheets created from various tables in SICS, have to be stored somewhere. Here you can set up a default path. The path may include the user ID from SICS (%userId% Default Document Path for Spreadsheet: Enter the path to the folder where you want to store your spreadsheets.

The Default Document Path For Spreadsheets can contain substitution variables.

If the path contains %userId% (exact case) it will be replaced with the SICS ID of the logged in user. Example D:%userId%\Spreadsheets will be expanded to D:\JSMITH\Spreadsheets for the user John Smith with SICS ID JSMITH.

For any other %XXX% (where XXX is any string) in the path the XXX will first be looked up in the java system properties (those that can be set with the -D on the java command line) and if not found there will be looked up in the environment variables. Document User Group #

You might want to create a document user group, where produced document should be stored, instead of in the default folder.

Relevant when: This makes it easier for a group of people working with the same things to find their produced documents.

Create document user group #

  1. Open system parameter maintenance, select document handling.
  2. Ask for edit mode in document user group box
  3. Select create from the right mouse button pop-up menu
  4. Add a document user group name, a file path and optionally a document extension
  5. Click save
  • The document user group is now available for selection in user preference.
  • All documents produced by a user will be stored in the defined file for the document user group instead of in the default file.
  • If the path is changed all new produced documents will be stored in the new file.
  • Document produced by a user not being part of a user group will be stored in the default folder for produced documents.

Attachments #

Files can be attached in SICS. The system parameter “Extensions For File Attachments” controls which types of extensions are supported.

If the system parameter is empty, then files with extensions .xls and .xlsx can be imported from the “Import Technical worksheet from Spreadsheet” menu choice on the Find Worksheet window. The generic Attachments functionality will allow all kinds of file extensions.

If the system parameter is provided with extension types that do not contain .xls or .xlsx , then “Import Technical worksheet from Spreadsheet” in Find Worksheet window will be disabled.

If the system parameter is not empty, the generic Attachments functionality in SICS will allow attachment of files having extensions as specified.
