7.13. Mass Update Anonymize Personal Data

Anonymize Mass Update periodic function #

Here you can search for orders that have been created to do mass anonymization of personal data for Insurable Objects Type Person or Third Parties (Insurable Object for Life). When you press List you will list all orders created up to now. You can search the order by ID or title into Properties Tab while Advance allows you to search by Creation date time stamp and the use who has created it. You cannot tell from the list whether or not the order has been run, but you can open the order by double-clicking it, which lets you view its properties. To do a mass update, you must first create a new order (or run created but not run up to now):

  1. Click on Create New on Properties tab or New when right mouse click on the container listing the orders.
  2. Enter an order title and Retention date criteria from From and Up To.
  3. Click OK to return to the Find window. Click Find Now to refresh the list and you see the order you just created (by selecting e.g. Created by Date on Advanced tab)
  4. Double-click the order to open it.
  5. From the Edit Menu button select Edit if you want to edit e.g. Retention date, to list the objects matching the Retention date or to run the existing order
  6. On the container window by right mouse clicking it is possible to:
    • to see the properties of the Insurable Object Type Person / Third Party (only Insurable Object for Life)
    • Clear the existing list
    • Exclude Insurable Object Type Person / Third Party (only Insurable Object for Life)
    • revoke the exclusion
    • Deselect All
    • Select All
  7. The order can be run either by pressing the button Run Now, either by creating Scheduled Job from the Menu button.
  8. Once you run order the column Anonymized is updated with Yes if the Anonymization has taken place.

For Insurable Object the following data should be anonymized:

General Tab:

  • Name (Full name, Last name, First name…)

  • Aliases

  • Name for Type Employer and Parent Specific Tab:

  • Gender

  • Status (alive, etc….)

  • Place of birth

  • Nationality

  • Address

  • Yearly income

In addition, for Insurable Object belonging to P&C or Cede only Type Person should be allowed for anonymization.

For Third Party the following information should be anonymized:

  • Name (Full name, Last name, First name, Short Name…)
  • Addresses
  • Electronic Addresses
  • Location
  • Alternative Names on Details tab
  • Former Names on Details tab
