Handle Inter Business Partner Relations

To maintain an overview of your partner’s organizational structure (current and historical) and common characteristics, SICS allows you to link partners in numerous ways.

Merge Partners #

  1. Open the business partner for whom you want create a link to a merged company or merger parent and open the Details tab.
  2. In the Properties display list select Merged Companies or Merger Parent
  3. In the Merged Companies/Merger Parent display list select New in the pop-up menu. You see the Create Merged Company/Create Merger Parent window.
  4. Enter relevant information and click OK.

Field Description
Merger Parent The company (parent) that absorbs the other company

Values: Business Partners

Validation: Non-editable when assigning merged companies

Only one parent company per given period allowed

Mandatory: Yes
Merged Company The company that is absorbed into the other (parent) company.

Validation:

Record Partner’s Organisational Hierarchy #

To help you maintain control and get an overview of a company’s organisational structure, SICS lets you create links between business partners and/or third parties, and also decide the hierarchy-level for each partner i.e. owner or subsidiary.

Assign Subsidiaries/Owners #

  1. Open the business partner for whom you want to record a Subsidiary or Owner and click the Details tab.
  2. In the Properties display list, select Subsidiaries or Owner
  3. In the Subsidiaries/Owners display list select New in the pop-up menu. You see the Create Owner and Subsidiary window.
  4. Enter relevant information regarding the subsidiary/owner relationship and click OK.

View Company History of Subsidiaries and Owners #

  1. Open the Details tab of the Business Partner.
  2. In the Properties display list, select Subsidiaries or Owner. SICS shows the current company ownerships. To see earlier company ownerships, click Include Historical Data. You see current active companies, including the earlier company situation

View Company Hierarchy #

See the corporation as a tree view.

To view the hierarchy from Find Business Partner:

  1. Select the business partner you want to view the Company Hierarchy information for and select Hierarchy in the pop-up menu.
  2. On the Organisation Hierarchy window you see the hierarchy for the company.

To view hierarchy from a Business Partner:

  1. Open a business partner and click the Details tab.
  2. In the Properties display list, select Subsidiaries
  3. Select Hierarchy tab. You see the Hierarchy display list.

Field Description
Owner A company that is the owner of a company, or a group of companies.

Values: Business Partners or Third Parties

Validation: Non-editable field when assigning subsidiaries.

A Business Partner can only have one active Owner within a period

Mandatory: Yes

Values: Business Partner, Third Party

Default: Business Partner

Validation: One type per search.

Subsidiary A company that is part of, owned by and controlled by another.

Values: Business Partners, Third Parties.

* Allows multiple subsidiaries
* Cannot assign _partners_ that already have an active Owner within the same period.

Values: Customised by your company e.g. Subsidiary, Branch, and Affiliate.

Validation: One category per subsidiary.

Default: Current date.

Validation: Later date than Valid To date not allowed.

Group Partners #

Many of your business partners have factors in common that can be useful to identify. SICS let you define these common factors by grouping business partners.

One reason to group partners could be that you want to know which companies that does business in a specific country, e.g. brokers that are experts in the South American market, but are not necessarily located in the region.

Register a Business Partner Group #

  1. Open the Business Partner Groups on the desktop. You see the Business Partner Group window.
  2. Select New from the pop-up menu. You see the Create Business Partner Group window.
  3. Enter a code and a name, and click OK.

Code The name or number that uniquely identifies the group.

Value: Free-text, maximum 20 characters

Functional impact: None

Validation: Do not allow less than its minimum allowable size 1

Name The name of the group

Validation: Do not allow less than its minimum allowable size 1.

Classify Partner Group by Countries, States and Main Class of Business #

For groups set up according to the members' approvals rights or business specialities, you may capture the groups' areas of business.

  1. Find and Open a Business Partner Group. You see the View Business Partner Group window.
  2. Select the Classification tab. You see the Classification display lists.
  3. Select the Classification Type (Country, States or Main Class of Business) and select Add/Remove from the pop-up menu. You see the Edit Countries/States/Main Class of Business window.
  4. Select Countries or States or Main Class of Business and click OK

Assign a Partner to a Group from the Business Partner #

  1. Open the Business Partner you want to assign to a Group
  2. Click the Details tab.
  3. In the Properties display list, select Groups.
  4. In the Groups display list, select New from the pop-up menu. You see the Create Groups window.
  5. Enter relevant information and click OK.

Assign a Partner to a Group from the Business Partner Group #

  1. Open the Business Partner Group you want to assign a new member to by double-clicking it or selecting Properties from the pop-up menu.
  2. Select the Members tab on View Business Partner Group window.
  3. In Members display list select New from the pop-up menu. You see the Create Members window.
  4. Enter relevant information and click OK.

Open Business Partner Ledger from a Business Partner Group #

  1. Open an existing Business Partner Group, Main Info tab, from either the Business Partner Group option or from the Details tab, Groups, of a Business Partner
  2. Click on the Business Partner Ledger Icon
  3. The Business Partner Ledger for all the members of the Business Partner Group opens

Set up Third Party Group #

In addition to participating in normal business partner groups, third parties can also participate in groups exclusively for third parties, for example “domestic insureds” or “overseas insureds.”

  1. Open the Third Party Group from the desktop.
  2. Select New from the pop-up menu. You see the Create Third Party Group
    window.
  3. Enter relevant Code and Name and click OK.

View Base Companies Assigned to Partner #

Organizations sharing the same SICS installation may consist of several legal entities, where each entity have their own business partners and Insureds. In this case, it may be beneficial to link the Business Partners to the Base Company they belong.

View Business Partners Assigned to Base Company #

  1. Open your Business Partner
  2. Select the Details tab
  3. Select Linked Base Companies

  2. Select the Details tab
  3. Select Linked Base Companies

Field Description
Linked Base Companies The base compan(y)ies linked to your business partner. Depending on the set up of your system administrator, you may see all base companies linked, or you may see only your Current Base Company.

Derived from: If you have a Current Base Company assigned to you, and your system also has been set up to hide other business partners than the ones linked to your Current Base Company, the link to your Current Base Company will be automatically created upon your creation of a new Business Partner.

Validation: Manual linking must be done, starting from the Base Company side

Linked Base Companies The base compan(y)ies linked to your insured. Depending on the set up of your system administrator, you may see all base companies linked, or you may see only your Current Base Company.
