Message View
The Message View window that you see varies de_pending_ on the type of the message, the bureau, and the status. Although the window will vary, the following tabs are always there:

Highlights
This tab shows important information extracted from the message or related SICS information that was referenced. For LIMNET messages, the user can specify what business, broker, claim, accounting classification / section or what Our Sequence Number to use during the creation of the worksheet. In addition for VNAB is the balance.
Properties
This tab shows the contents of the message. The left part shows the record structure of the message while the right part shows the contents of a particular selected record.
Rules
This tab shows the validation rules associated with this particular type and sub-type of message.
Problems
This tab shows the errors and warnings set by the rules applied to this message. If there no errors, the tab is not shown.
Corrections
This tab shows the corrections made to this message. In practice, it shows the rules that have been overwritten. IF there are no overwritten rules, the tab is not shown.
Related Messages
This tab shows any EDI messages related to this one. The tab only appears once you have selected ‘Related messages’ from the menu.
Notes
This is a free text field where you can type in notes about the message.
JV Booking Mapping #
| More information about booking mapping in the form of a technical specification is available upon request. | This version of the tab is shown only for JV messages. It shows the booking mappings to which this message has been linked. Each entry (RETACC group 3 and REBORD group 5 records) within the message that is to be booked is linked to one booking mapping during referencing of the message. The booking mappings are used during message processing to determine the business where the account entry should be booked. |

A booking mapping consists of information derived from one entry in the message, known as the ‘booking mapping key’, and information on where to do bookings, also referred to as ‘booking mapping target’. The key contains static information and cannot be changed by the user or the system. The target is user configurable and determines where and how the message is booked.
Each Booking Mapping linked to the entries in the message is listed at the top of the screen. Multiple entries can be linked to the same booking mapping, and the column ‘Entry Indexes’ lists which entries are linked to the particular booking mapping. The values of the booking mapping key are displayed along the top half of the screen. The bottom half of the screen shows the target of the current selected booking mapping. The user might change these values in order to change the location of where messages using this booking mapping are booked.
The values of the booking mapping key form a unique combination within one installation of SICS. When a message is referenced, the system will (for each entry) search the database for a booking mapping having a key similar to the values found in the entry. If an existing booking mapping is found, this mapping will be used for the entry. If no entry is found, a new entry mapping is created and linked to the message.
When the first technical account for the first insured period from business inception is processed, the system defines the booking mappings that will be used for posting entry details to a technical worksheet. Depending on the EDI processing option set on the referenced insured period (see Handle Business Life Span chapter AC processing Option), the message may be stopped at this point.
Option a) Process as default
The message will be stopped, and the user must then validate the proposed booking mappings, set the corresponding “Automatic Booking” check boxes to “On” and re-process the message to completion.
Option b) Process To Specific Accounting Classification(s), the Automatic Booking check box will set to “On” by the system. The message will process automatically without intervention if there are no errors.
Option c) Process According to Accounting Classification split the Automatic Booking and Use Accounting Classification split check boxes will set to “On” by the system. The message will process automatically without intervention if there are no errors.
Whatever the option, the system will then automatically process all following technical accounts for this first insured period to completion without any further intervention.
After business renewal, the first technical account for the new insured period will also be automatically processed to completion if the proposed booking mappings are identical to the booking mappings that were used in relation to the previous insured period - the year components being ignored in the comparison. Otherwise the user will have - as for the first account upon inception of the business - to validate the new booking mappings, set the corresponding Automatic Booking check boxes to On and re-process the incoming RETACC message.
| When a new booking mapping is created, the validation rule ‘Populate Automatic Booking Mapping’ will automatically try to populate the target part of the mapping. To avoid using this feature, turn off the validation rule. | Note that one single booking mapping can be associated to several identical. ‘Identical’ in the sense that the properties forming the key have the same values. RETACC group 3 and REBORD group 5 records within the same message and/or in other messages. Therefore editing the target of one booking mapping can have impact on unprocessed messages and messages received in the future. |
There are two types of booking mappings; technical and claim. Depending on the nature of the entry, the message is referenced to either type. Technical booking mappings are used to support booking to technical worksheets, while claim booking mappings support booking to claim worksheets.
When processing a message with multiple booking mappings, all booking mappings are considered together. Booking mappings identified as being ‘compatible’ are booked to the same worksheet. For two booking mappings to be compatible they must book to the same type (technical or claim) of worksheet and their key must match.
LIMNET Booking Mapping #

The LIMNET booking mapping tab is only shown for a message linked to business which has the EDI AC processing option set to ‘Process according to Accounting Classification Split’. On this tab the user is required to enter or confirm the accounting classification split that will be used to book the LIMNET message. See Accounting Classification and Section Processing for further details
Balance Mappings #
This tab is shown only for JV messages. The top part lists all potential balance mappings identified in this particular message. The bottom part lists the properties of a selected balance mapping (See later in this chapter.)
A balance mapping is a combination of information from the message (balance mapping key) and information from SICS (balance mapping properties.) This balance mapping can be associated to RESETT group 3 records for pairing, or to supported RETACC group 3 and supporting REBORD group 5 records for information.
A balance mapping shows already created technical or claim balances that are matching a due date, a message global unique reference, and a business partner’s JV identifier.
Errors #
This tab shows the validation rules that failed, if there were any. There are three types of errors: Error, Warning, and Referencing.
- An Error is a validation rule that failed on one or more fields of the message and that must be corrected either in the message or in the corresponding worksheet or claim before it can update in SICS.
- A Warning is a validation rule that failed on one or several fields, but no correction is needed. The message still updates in SICS. A warning does not prevent the system from further processing, but calls your attention to something you should be aware of.
- A Referencing error is a validation rule that failed to identify a SICS object given a set of fields from the message. It must be corrected before you can see the worksheet or the claim, or before it updates SICS.
Corrections #
This tab shows all overrides of errors made to the message.
Preview #
This tab is shown only for JV Messages. It shows a more user-friendly form of the message, where codes are presented in a plain text form. This tab is accessed by selecting Preview on the Edit Menu in the top right of the View JV Message window. In order not to see the segment names at each line, clear the Show JV Segment Information in Preview check box in EDI system parameter.
Bordereau #
This tab is shown only for REBORD JV Messages. Much of the same information as in the Preview window is displayed but in a better structure. Be aware that you may define in which order the Entry Codes should be displayed in this view. Your System Administrator defines the display order in the System Parameters. Once you select Preview on the Edit Menu in the top right of the View JV Message window, the Bordereau window will be accessible as a separate tab. If you decide to print the content of this window the system will do a page breaks, where page break will appear in the printed document can be seen as a Female symbol at the beginning of a line.
If an even more enhanced layout is wanted for the Bordereau content you may select, copy and paste the content into a text editor program of your choice. Copy the information by keyboard (ctrl. + home followed by ctrl. + shift + end), or by use of the mouse, and copy to the clipboard by use of ctrl. + c or the copy option from the pop-up menu.
Viewing Messages #
There are two ways to get to the View Message window:
- From the Find: EDI Batches window, open a batch to see the View Batch window, and then double-click one of the messages in the Messages tab to open the View Message window.
- From a Find Message window, double-click one of the messages in the display list to open the View Message window.
As mentioned earlier, what you see in this window depends on the type of message, the bureau, and the status.

At the top of the View Message window you see a Navigation bar that lets you navigate between messages found in the Find Message window, or between messages belonging to a batch (from Batch View.) On that Navigation bar is the Edit Menu button, which gives you several options when you click it. The options available depend on the status and type of the message. These options are also available from the display list of the Find Message window and from the Messages tab in the View Batch window.
If the status is Unprocessed, you can:
- Validate the message.
- Process the message.
- Discard the message.
If the status is Error, you can:
- Validate the message.
- Process the message.
- View the worksheet for the message.
- Discard the message.
- Mark the message as examined.
If the status is Examined, you can:
- Validate the messages.
- Process the message.
- View the worksheet for the message.
- Discard the message.
If the status is Validated, you can:
- Validate the message.
- Process the message.
- View the worksheet for the message.
If the status is Processed, you can:
- View the worksheet for the message.
If the status is Discarded, you can:
- Restore the message.
For Error and Validated statuses it is possible to create claim or update the business share. This is dependent upon bureau, message type and subtype.
Viewing Errors #
To view a message which has errors, warnings, or referencing errors, and determine what to do next:
- Select a message with the status Error from the display list of the Find: Messages window.
- Open the message.
- Click the Problems tab. This tab is broken down into three further tabs: Errors, Warnings, and Referencing
The difference between an error and a warning is that a warning does not prevent the message from being processed, while an error does.
Click the Referencing tab to see reference error. If, for example, a message is linked to a business partner in the system, and the reference to that business partner fails, you can see a description of that error here.
Validating Messages #
If you made changes to a business or the message since the message was rejected, you may want to have the system revalidate the message. There are several ways to do this:
- You can do so from the View Message window by opening the message you want to revalidate, and then clicking the Edit Menu button on the Navigation bar, and selecting Validate.
- You can open the batch, click the Messages tab, select the message and select Validate from the right-mouse button pop-up menu.
- You can search for the message in the Find: Message window, select it and select Validate from the pop-up menu.
If there are still errors after validation, the message status remains Error. If there are no errors (this does not include warnings,) the status is changed to Validated.
|

Edit Menu button | You can select Process from the Edit Menu button on the Navigation bar. The message is validated once more and if no errors are detected the message updates SICS. |
You can close the message by closing the window, or you can view the next message by clicking the Next Message button on the Navigation bar.
View Worksheet #
To view a message which has a status of Error, Examined, Validated or Processed and determine what to do next:
- Select a message from those available in Find: EDI Messages window.
- Select Swap to Worksheet
The worksheet status will either be open or closed. If the worksheet is active (it has not been closed or inactivated) and is incomplete or incorrect, you can update the worksheet manually and attempt to close the worksheet.
Once you have viewed or updated the worksheet, save your changes by clicking UNFI(Unfinished) if you do not want to change the worksheet status. Select Closing to access the closing window, to change the status to either close or inactivate, or simply to save the worksheet.
If the worksheet status is set to Open, the worksheet is incomplete and if Swap To Worksheet is selected again you enter the unfinished worksheet.
If the worksheet status is set as Closed the worksheet is not available for changes if Swap To Worksheet is subsequently selected.
If the worksheet status is set as Inactivated this worksheet is not shown if Swap To Worksheet is chosen again. However, a new worksheet is created from the message.
If Swap To Worksheet is selected from an existing claim CLASS message or from a new claim CLASS message, and if no claim response CLASS message has already been successfully processed, you see the check box: EDI Message Processed. This lets you change the status of the message to processed or error when you click UNFI or Apply.
Discarding and Restoring Messages #
If there is an EDI message in the list of active messages that you do not want to be revalidated and update SICS, you can select to discard it. A message can be discarded by clicking the Edit Menu button on the Navigation bar of the View Messages window and selecting Discard. If the message has already been discarded, the Discard option shows Restore instead.
When the Discard/Restore menu option is used to discard or restore the message, you are prompted to enter the reason if Mandatory Note Update on Discard / Restore Message is selected in the EDI system parameter. Click OK to discard or restore the message. This text is visible in the note attached to the message.
When you discard a message, the status of that message is changed to Discarded. If you restore a discarded message, the status changes to Unprocessed.
Viewing and Setting Overrides #
When you select an EDI message in error for correction, you can request to see a list of possible validation rules and override statuses already set for the message. SICS lets you select that overrides are in place, and that settings are changed, if required.
Click the Rules tab of the View Messages window to see a list of validation rules that apply to the message. The list is based on message type and subtype.
You can select to Override a rule on the Error tab. Only field rules can be overridden. When selected, the validation rule is omitted when validating this message. The override remains in force until the message is processed, or the override is removed on the correction tab.
There is also an option to permanently override the rule. In this case, the rule will be omitted for all subsequent messages linked to the same insured period or claim. The permanent override can be removed on the correction tab or from within the EDI information on the Insured period or claim. When changing the status of the permanent override (on or off), you must enter a reason for the change in the Permanent Override dialogue box.

When you select to Override, you omit this validation rule when validating this message.
Mark a Message as Examined #
You can change the status to Examined for an EDI message in the list of active messages. You change the status to Examined by clicking the Edit Menu button on the Navigation bar of the View Messages window and selecting Mark as Examined. If the message has already been marked as examined the option is disabled.
When the Mark as Examined menu option is used to change the status to Examined, you are prompted to enter a note, a Reason Code and a Responsible Unit if Note Update on Mark as Examined Message is selected in the EDI system parameters. Click OK to mark the message Examined. The entered text, the Reason Code and the Responsible Unit is visible in the note attached to the message. It is not mandatory to enter any of the above information
When you mark a message as examined, the status of that message is changed to Examined.
Enter a Reason Code and/or a Responsible Unit #
You can enter a Reason Code and a Responsible Unit in a structured way in the Notes for an EDI message in the list of active messages. You update the Notes with this information by clicking the Edit Menu button on the Navigation bar of the View Messages window and selecting Reason / Responsible.
When the Reason / Responsible menu option is selected the Reason Note window opens where you are prompted to enter a note, a Reason Code and a Responsible Unit. Click OK to store the information. The entered text, the Reason Code and the Responsible Unit is visible in the note attached to the message. It is not mandatory to enter any of the above information. The status of the message is NOT updated by use of this option.
