Upgrading Reports
In many companies, it is your System Administrator who is responsible for upgrading universes in BusinessObjects. Following the instructions in the SICS System Administration Guide the new universe should overwrite the old universe in the same folder structure and with the same short file name.
Your responsibility in the upgrading process is to upgrade your existing reports so that they can be opened and used with a new universe.
Before you can start using the new universe, you need to verify that your reports run with the new universe will contain the same data as with the old universe.
When you want to run your reports with a new universe, you should do the following:
- Refresh your existing reports and save them in a folder so that you later can open and compare them with the reports run with the new universe.
- Create a test folder on your workstation, where you later save a refreshed copy of your reports run with the new universe.
Refreshing Your Existing Reports #
You should refresh and save all your existing reports in a separate folder before upgrading to a new universe. This is to make sure that you do not loose any of your reports if the upgrade process does not run smoothly. When you check the data retrieved in the reports with the new universe, you can also use the “old” reports to see that there are no discrepancies between them.
To Refresh Your Existing Reports:
- Open a report.
- Click the Refresh Data button in the Navigation bar, or select Refresh Data from the Data menu.
- Save the report in the folder for your reports run with the old universe.
Upgrading to a New Universe #
When you have refreshed and saved all your reports, you need to create another test folder on your workstation for your reports run with the new universe. Then you can upgrade your workstation with the new universe.
To Import the New Universe:
- In the Reporter module select Universes from the Tools menu.
- Click the Refresh button to view the current status for the available universes.
- Locate the new universe to be imported.
- If status for the new universes is ‘To be imported’ click the Import button. If status is ‘Up to Date’ click the Close button.
- When the import of the new universe is done, click the Close button.
Refreshing the Report with the New Universe #
Provided the universe upgrade process have been done correctly according to the System Administration Guide, and once the new universe is imported into your BusinessObjects directory, you have to update the report results against the new universe.
To Update the Report Result with a New Universe:
- Click the Refresh button, or open the Query Panel and click the Run button. At the top in the Query Panel you should be able to verify the name of the new universe.
- Save the report in the folder you created for your reports refreshed with the new universe.
- Open the report that was run with the old universe and compare the result of the two reports.
Error Message for Removed Objects #
If you receive a message saying “Some obsolete objects have been removed from the query” when refreshing the report or opening the Query Panel, then the original query had one or several objects which in the new universe have been deleted. You need to replace the deleted objects with equivalent objects in the new universe, and then run the report. If you are uncertain on which new objects to select, there is a document included in the delivery package showing the recommended replacing objects.
